1. Who this Policy covers
GrowMyClub is a business-to-business platform. We interact with two groups of people, and our role differs for each:
- Club Users — the club owners, operators, and staff who hold a GrowMyClub account. For their account information, GrowMyClub is the “controller.”
- Club Customers — the members, leads, and players of a club whose information a club uploads to, or syncs into, GrowMyClub (for example, through PodPlay, CourtReserve, or Meta). For this information, the club is the controller and GrowMyClub acts only as a service provider / processor that handles the data on the club's behalf and under its instructions.
If you are a Club Customer and want to access, correct, or delete your information, please contact the club you interact with — they control that data. We will assist our club clients in responding to such requests.
2. Information we collect
From Club Users (account & billing): name, email address, phone number, club/business name, role, login credentials, and billing details (payment is processed by our payment provider; we do not store full card numbers).
From Club Customers (provided or synced by clubs): name, email address, phone number, date of birth, event and clinic check-in records, booking and attendance history, transaction and revenue data associated with the customer's activity at the club, and marketing-engagement data (such as email opens, link clicks, and message replies). Clubs determine what data they share with us.
Collected automatically: usage and log data, device and browser information, IP address, and cookies or similar technologies used to operate, secure, and improve the Service and our website.
3. How we use information
- Provide, operate, maintain, and secure the Service.
- Build, schedule, and send the email, SMS, and retention campaigns that clubs configure.
- Power CRM, pipelines, automations, and birthday, win-back, and follow-up flows.
- Connect booking, revenue, and ad data into reporting and ROI attribution for the club.
- Provide support, communicate about the Service, and process billing.
- Detect, prevent, and address fraud, abuse, security, and technical issues.
- Improve and develop the Service, including aggregated and de-identified analytics.
- Comply with legal obligations and enforce our agreements.
4. Email and text messaging
GrowMyClub sends email and SMS messages on behalf of clubs, using the contact information and consent the club maintains. Clubs are solely responsible for obtaining and honoring all consents required to message their customers and for complying with applicable laws (including the TCPA, CAN-SPAM, and carrier and 10DLC requirements). Recipients can opt out of SMS by replying STOP and out of marketing email via the unsubscribe link. Message and data rates may apply.
5. How we share information
We do not sell personal information. We share information only as described here:
- Service providers / subprocessors that help us run the Service — for example, cloud hosting and database providers, email- and SMS-delivery providers, analytics, and error monitoring — under contracts that limit their use of the data.
- Integration partners you connect — PodPlay, CourtReserve, and Meta — to sync the data needed for bookings, revenue attribution, and ad performance.
- JOOLA and StackEleven, our affiliated and operating companies, to provide and support the Service.
- Legal and safety — when required by law, subpoena, or to protect the rights, property, or safety of GrowMyClub, our clients, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
6. Data retention
We retain Club User account data for as long as the account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. We retain Club Customer data on behalf of, and according to the instructions of, the relevant club, and we will delete or return it following termination as described in our agreement with that club, subject to legal retention requirements.
7. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
8. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict the processing of personal information, or to opt out of certain processing. Club Users may exercise these rights by contacting us. Because we process Club Customer data on behalf of clubs, Club Customers should direct such requests to the relevant club, and we will support the club in fulfilling them.
9. Children's information
The Service is intended for clubs and their adult customers and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13. Where a club provides a customer's date of birth (for example, to send birthday offers), the club is responsible for confirming it has the right and any necessary parental or guardian consent to share that information with us. If you believe a child has provided information to us directly, please contact us so we can delete it.
10. Cookies
We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect how the website and Service function.
11. United States processing
GrowMyClub is operated from the United States (Maryland), and the information we handle is processed in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States.
12. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
